POSITION TITLE: Payroll/Personnel Secretary - Custodial
JOB DESCRIPTION:
To assist the Coordinator of Custodial in the efficient management of the department and present a positive image to the staff and public.
DUTIES and RESPONSIBILITIES:
Manage payroll data in the Kronos system for employees of the Custodial Department, including but not limited to daily data entry, frequent correspondence to department supervisors and custodial leads, manual calculation of summer supplemental payroll, and finalize reports provided to the Payroll department.
Prepare additional department data relating to Payroll Department (i.
e.
overtime reports, employee count report and employee campus locations).
Maintain employee files and computer program updates including but not limited to recording and filing absences, rate increases, evaluation reports and memos for record.
Assist department employees with payroll and absentee questions.
Prepare all documentation for exiting employees.
Compile information and process first report of injury for all department Workers’ Compensation injuries.
Forward all subsequent documentation to Human Resources.
Correspond with Human Resources and Texas Association of School Boards (TASB) representatives relating to employee injuries.
Issue and assign work orders as needed.
Issue internal purchase orders as needed by department staff.
Schedule department interviews, coordinate completion of new hire paperwork, set up fingerprint appointments for new employees.
Participate in job fairs for the department.
Prepare yearly evaluations for the department.
Maintain employee files.
Participate in annual employee meeting.
Assist with auction by taking pictures, listing auction, checking out items to purchasers, etc.
Coordinate scheduling of meeting rooms at off campus locations.
Schedule Coordinator’s meetings, appointments, and maintain his/her calendar.
Receive incoming calls.
Prepare correspondence for Coordinator.
Daily attendance and attendance records.
Compile data necessary for reports and forms for the administrators.
Maintain office procedures in the building administration area.
Respond to emergency calls as needed and be on-call/stand-by as assigned by supervisor.
Other duties as assigned.
Maintain confidentiality.
Regular attendance.
EXPERIENCE:
Two (2) years secretarial work experience
Bookkeeping experience
QUALIFICATIONS:
Minimum Education/Certification:
High School Diploma or GED
Special Knowledge/Skills:
Typing, filing, bookkeeping
Communication - telephone, meeting staff and public
